Clinical Operations Specialist

What We’re Looking For

We are hiring a Clinical Operations Specialist to guide our Freeze members through their egg freezing and donation journeys. This role is ideal for someone who is detail-oriented, proactive, and passionate about third-party reproduction. You will review egg donor applications, engage directly with members over phone and email to answer questions, lead video calls to educate members and ensure informed consent, amongst other operational and member-facing activities. This is a remote role on our Member Experience team; we are looking for 20-30 hours per week to start, ideally with some weekend availability.

Responsibilities

  • Review donor applications relative to FDA and ASRM guidelines
  • Lead member welcome calls with applicants who have been approved for the Split program to start them on their egg freezing and egg donation journeys 
  • Support other clinical operations processes, such as coordination of outside monitoring 
  • Engage one-on-one with our members over email for scheduling and program questions
  • Support other elements of our member onboarding process as needed, such as approving donor profiles for our intended parent platform, including helping donors’ personalities shine
  • Surface observations, issues, and insights with relevant team members & create efficiencies in processes you own to optimize the Split program application process and member experience

Professional Characteristics

  • 3-5 years in a healthcare field, ideally with experience supporting patients through egg donation, egg freezing, and/or IVF journeys; clinical background a major plus
  • Effective verbal and written communicator with exceptional judgment and attention to detail
  • Excels at building trust and rapport quickly, especially with patients / customers
  • Highly efficient; ability to work independently, while also collaborating as a part of a remote team
  • Solutions-oriented and a fast learner, eager to contribute to improving processes at a fast-moving startup
  • Tech savvy. Proficient in Google Suite, easily able to learn and manage new CRM, customer service, and operations tools.

Member Advocate (Manager Level)

What We're Looking For

We are hiring a Member Advocate to help manage our third party reproduction cases with donors and intended parents. The Member Advocate will have a primary focus on day to day case management while also building processes and procedures to scale. You’ll join our growing, fast paced team, managing several cases at different stages simultaneously.

Responsibilities

  • Serve as an advocate for intended parents and Split Members (egg donors) as they navigate their egg donation journey
  • Act as the primary point of contact for our members, guiding them through their egg donation journeys via video call, phone call, and email
  • Manage relationships with medical providers to coordinate the retrievals for member donors - including scheduling travel, managing escrow funding, coordinating screenings and egg retrievals
  • Optimize and build case management best practices and operational procedures
  • Track match progress in our CRM tool, ensuring the documentation for each match is captured seamlessly
  • Follow industry guidelines as directed by the American Society of Reproductive Medicine (ASRM) and the Food and Drug Administration (FDA)

Professional Characteristics

  • 5+ years third party reproduction case manager/coordinator with experience working with multiple cases at once
  • An excellent communicator with experience working with medical or fertility clinics and providers (preferred)
  • A problem solver, who is ready to take on challenges the moment they arise and enjoys fast paced work
  • Someone who is always looking for ways to be more efficient
  • Interested in the third party reproduction field and is comfortable supporting and educating our members through egg donation, egg freezing, and embryo creation
  • A collaborative team player
  • Proficient in Google Suite, CRM tools, experience with egg donor software a plus
